Festival Crew Position Descriptions

Backstage Positions

Stage Manager

The Stage Manager has the task of ensuring that the stage is being run efficiently.  Directly responsible for other students, the Stage Manager is the leader of the Stage Crew, and requires the leadership skills to get the stage set-up correctly between ensembles.  Everything that happens on stage is the responsibility of the Stage Manager.

Stage Crew

The Stage Crew has the task of ensuring that the stage is set correctly for each performing ensemble.  IT is important that when an ensemble takes the stage for their performance, that it is set-up according to the specifications set by the ensemble’s Director.

Direct Contact Positions

Greeter

The Greeter is the first person that each ensemble’s Director meets.  The Greeter is responsible for welcoming the ensemble to the school and makes the first impression to the Director.  It is an important position because a first impression can make or break an ensemble’s performance in a festival.

Guide

The Guide has the task of escorting the ensemble from the Cafeteria to the Warm-up Room, the Warm-up Room to the Stage, and from the Stage back to the cafeteria or the bus.  It is important that the Guide understands that the schedule is dependent upon them doing their job in an assertive manner.

Registration

The Registration student is responsible for working with an Adult Volunteer at the Registration table, as well as helping people move throughout the lobby area.  The registration student will welcome directors to our beautiful school, process their registration for the event, ensure that the director has the appropriate number of tickets, organizes music for the judges, ensuring no music has been copied, and communicating with the host to ensure that they are up to date on which groups have been registered. 

Sales Positions

T-Shirt Sales

The T-Shirt Seller is responsible for inventorying and selling t-shirts.  The T-Shirt Sales position will work with the concessions staff to ensure all students get breaks.

Concessions

Concessions students are responsible for working with adult volunteers to sell concessions to guests attending the festival.  As well, concessions crewmembers and adult volunteers will inventory concessions, collect money from guests, and complete simple tasks to ensure that appropriate money has been collected.

House Positions

Judge's Assistant

The Judge’s Assistant is the link between the Registration Table and the Judges.  This crewmember will take music from the registration table to the judges, and bring the music from the judges back to the registration table.  As well, the Judge's Assistant will assist the Usher in ensuring that all house functions are operating appropriately.

Usher

Music in the Parks guidelines state that no one should enter the auditorium during a performance.  The Usher is responsible to ensuring this guideline is followed.  The Usher will assist the Judge's Assistant with carrying our their duties as well.

Adult Volunteer Positions

Registration

The Registration Table is responsible for many different tasks:

  • Most importantly, the Registration Table is the first point of contact for our visiting directors.  This is where the director will register their group for the festival, submit their music for the judges to use during the adjudication, submit their announcers forms and stage set-up forms, and pick-up their tickets for Busch Gardens.

  • Directors may choose to purchase a limited amount of additional tickets from the Registration Table.  This will result in the director paying with cash, check, or credit card, which is why it is important to have an adult at the Registration Table.

  • The Registration Table will then organize all music, announcer forms, and stage set-up forms, which will be picked up by the judge's assistant, stage crew, and announcer.

Concessions

The Concessions Stand will sell candy, soda, and other novelties for our visiting guests, musicians, and directors to purchase.  The adult volunteer for the Concessions Stand will be responsible for:

  • Overseeing a crew of students who will sell candy and collect money.

  • Inventorying product at the beginning and end of each festival day and notifying the host of any discrepancies and items that need to be purchased.

  • Counting money at the end of each festival day to ensure the appropriate amount of money has been collected during the event.

Announcer

The announcer is responsible for announcing each group before they perform.  When each group takes the stage, the announcer will read the following:

  • Ensemble and Directors Names

  • Judges' Bios

  • Selections to be Performed

  • Soloist Names

  • Accompanist Names

 

IMPORTANT:  The announcer must be able to speak publicly under the pressure of an audience, while reading forms that have been completed in many variances of handwriting.  Adults who do not do well with speaking before an audience or a group of people should not sign-up to be an announcer.
